Set Outlook Desktop Signature

  1. Download the "Outlook Desktop Signature.docx" located at the bottom of this article.
  2. Open the downloaded file.
  3. Highlight all of the text in the document by pressing [Ctrl] + [A] on your keyboard.
  4. Copy the highlighted text by pressing [Ctrl] + [C] on your keyboard.
  5. Open Outlook Desktop and click "New Email".
  6. Select "Insert > Signature > Signatures..." from the new email toolbar.
  7. Click [New].
  8. Enter a name for your new signature and click [OK].
  9. Click inside the signature body and paste the signature by clicking [Ctrl] + [V] on your keyboard.
  10. Update the info in the signature with your information.  Be sure to watch the video for specific settings!
  11. When you are finished click [Save].
  12. Set your new signature to be used for new emails as well as reply/forwards
  13. Select and remove your old signature by clicking [Delete] then [Yes].
  14. Click [OK] to exit the signature options.



Set Outlook Web Signature

  1. With the new email window open, select "Insert > Signatures > (signature name)" from the new email toolbar (this will update the email with your new signature).
  2. Send this email with your new signature to yourself.
  3. Open Outlook Web https://outlook.office365.com.
  4. Highlight the signature then press [Ctrl] + [C] on your keyboard to copy it.
  5. Click on "Setting > View all Outlook settings > Compose and reply".
  6. Click inside the signature body and paste the signature by clicking [Ctrl] + [V] on your keyboard.
  7. Check the following boxes:
    • Automatically include my signature on new messages that I compose
    • Automatically include my signature on messages I forward or reply to
  8. Click [Save].
  9. Close the settings page (X in the upper right corner).
